Add Notifications
When you create new notifications, those notifications can apply to an individual trading partner, multiple trading partners, or all trading partners.
Note: Available options are based on your organization's setup and configuration at GHX.
- Click Dashboard.
- Click the New Notification
icon. The New Notification dialog box opens.
- Define the Category and Organization Selection(s) criteria.
Options are:
Field Description Notification Category Identifies the use case category. Options are:
- Document Status – Use to monitor the movement or end state of a document you are sending through GHX
Examples of when to use Document Status:
- When certain documents or business processes have erred, paused, or completed
- When POAs are in error at GHX
- When catalogs are in error at GHX
- When invoices are successfully sent to a specific trading partner
- When contracts are successfully sent to all trading partners
- When POs are paused at GHX
- Document Correlation – Use to monitor when a return document (POA, ASN, or invoice) has not been received within a specific amount of time for a successfully sent PO
Examples of when to use Document Correlation:
- Notify me of the POs that do not have a POA returned from my trading partner within 4 hours
- Notify me of the POs that do not have ASNs returned from my trading partner within 8 hours
- Notify me of the POs that do not have invoices returned from my trading partner within 3 days
- Document Volume and Trend – Use to monitor traffic volumes that are outside of set limits, such as more than, less than, or equal to a certain value; that have (or have not) been sent to your system during that time; or that you have sent to a trading partner
Examples of when to use Document Volume and Trend:
Notify me when I have successfully sent fewer than 50 POs to a specific trading partner by 12:00 PM
Notify me when I have successfully sent no (zero) contracts to all trading partners by 10:00 AM
Notify me when I have successfully sent more than 500 invoices to a specific trading partner by 2:00 PM

Parked PO – Users whose organizations subscribe to GHX Intelligence Business Rules can select this option to create notifications for documents that have been parked
Search Organization
Type a division or facility name to limit the notification to a single entity within your organization.
Show Selected Click to open a list of selected divisions or facilities.
Clear a checkmark to exclude one or more divisions or facilities.
Apply notification to future divisions in hierarchy
Select this checkbox to automatically add future divisions or facilities to this notification.
Note: Selecting this option ensures that when new divisions or facilities are added to the organizational hierarchy, the existing notification will automatically include the new divisions and facilities in the trigger criteria.
- Document Status – Use to monitor the movement or end state of a document you are sending through GHX
- Define the Data Attributes criteria.
Options are:
Field Description Notification Name Type a unique notification name. The maximum number of characters in this field is 250.
Tip: Including the criteria in the notification name will make it easier to locate specific notifications in the future.
Notification Description Type a description for this notification (optional). Business Process Type Identifies the business processes to which your organization subscribes.

Document Channel Select an option to limit the notification to one channel. Channels are GHX traffic categories.
Options are:
- All Channels
- Exchange
- GFax
- SingleChannel
- TradingNet
- WebConnect
- eInvoicing
Document Status Select an option to limit the notification to a specific status.
Options are:
- Error – The document failed at GHX
- In Progress* – The document is processing through GHX
- Parked – The document is suspended in a GHX application
- Paused* – The document is suspended in a GHX application
- Resolved – The document failed at GHX and was worked by GHX support
- Success – The document was delivered to the partner/system
- Support_Hold – The document is being evaluated by GHX personnel
Note: *The In Progress and Paused statuses occur during normal system processing. Therefore, these notifications are sent only when the process has been in that status for more than 30 minutes.
Notification examples:
Provider orders are in an Error status
Nome Community Hospital often sends urgent orders through GHX to their supplier, Anvik Medical Supply. Nome needs to know right away when Anvik's orders are not successfully sent through GHX. Sometimes the buyers are not near their computers to use My Exchange to check order statuses. However, they do have their mobile devices that have email and text capabilities. In this case, users at Nome Community Hospital can add a notification to be delivered by email or text when Anvik Medical Supply's orders are in an "Error" status at GHX.
Supplier invoices are in a Success status
Anvik Medical Supply wants to reduce the resources needed for manual invoice delivery methods, such as email. To do this, Anvik has been focusing on delivering as many invoices as possible through their GHX connection to their GHX-enabled trading partners. As new electronic connections are enabled for invoice delivery, Anvik users want to ensure that invoices are successfully delivered to newly-boarded invoice recipients. Anvik users can add a notification that is delivered by email or text when electronic invoice documents for specific trading partners are in a "Success" status at GHX.
Sent To / Received From Identifies whether the business process is being sent from your organization or received from your trading partner.
Options are:
- To Trading Partner – Select to include only transactions your organization sends to your trading partners
- From Trading Partner – Select to include only transactions received from your trading partners
Trading Partner Identifies one or more trading partners.
Options are:
- All Trading Partners
- A specific trading partner name
Add Trading Partner Click the
icon to open the Edit Trading Partners dialog box and add one or more additional trading partner names.
- Define the Delivery Details criteria.
Options are:
Field Description When Received Identifies the days on which you want to receive the notification.
Options are:
- All Days – Sends notifications every day
- Specific Days – Select the checkbox for the specific days when you want to receive the notification and clear the checkboxes for days when you do not want to receive them
From Select a date from the calendar when the notification will begin. To Select a date from the calendar when the notification will automatically expire. Notify Who Identifies the user name and email address of the person who added this notification. The default value is the user name of the person who is logged in.
How Often Identifies how often the application will send a notification.
Options are:
- Every Occurrence – Generates a notification every time the trigger criteria is met
- Every 15 Minutes – Gathers the data and sends a digest every 15 minutes
- Every Hour – Gathers the data and sends a digest every hour
- Every 3 Hours – Gathers the data and sends a digest every three hours
- Twice/Day – Gathers the data and sends a digest twice a day, at 7:00 AM and 3:00 PM local time
- Once/Day – Gathers the data and sends a digest once a day, at 7:00 AM local time
Notify Using Select a notification method.
Options are:
- Email – Sends the notification to an email address; this is the default setting
- Text/SMS – Sends the notification as a text message; message and data rates may apply
- Send test – Sends a test message to the address in the Notify Who field
Note: The Notifications application uses the email address and mobile phone number that are on the user profile. If you need to modify the email address, contact GHX Customer Care. If you need to modify the mobile phone number, follow the instructions in the Edit Your Profile topic.
Add Recipient Click to add contact information for additional notification recipients.
Note: Users with Customer Administrator or Manager user roles can click the Add Recipients link to subscribe other users to a notification. User profiles assigned the Users user role will not see this option.
Subscribe to this notification Click this link to add your user name to the Notify Who field (if the value is not automatically added).
- Click Save Notification. The notification is effective immediately.
